When you register for an event we will use the information you supply to communicate to you about that event. If an event is organised or recruited for by a third party we may receive data from them, we may also send data to the event organiser in order for them to secure your place at the event. That data is stored on our server and in our CRM system. We will record details of registration or entry fees paid but we do not hold credit or debit card or bank account details on our system.  We will keep a record of your transaction for 7 years to comply with VAT record keeping laws.  We do not store any card details.

One off donations – After we have processed your donation we will store an electronic record of your transaction for the life of your relationship with the charity (ie until you ask us to remove the record). We analyse donation data to help us understand how successful we are with our fundraising activities.  We do not store any card details or bank details. If you choose to receive marketing emails from us please see the email marketing section of this policy for information on how we use this data.

Gift Aid declarations are recorded electronically in our CRM system, they are valid for 6 years from the date of donation.

Regular donations – details of regular donations are recorded to our CRM system at the point of arrival in our bank account.  Regular updates are sent to committed givers, by post or email, according to their preferences. All e-mails carry unsubscribe notices.  Anyone wanting to stop receiving update letters should contact a member of the fundraising team by phone, in person or by email.

Dream applications

Our dream application form asks you to provide contact information and other personal and medical information that we need to be able to fulfil your dream. In some cases we will need to share this information with other organisations, for example when we make travel arrangements for you.

We also share information with other similar charities to ensure that an applicant has not been accepted by them.

We promise that we will never share your information unnecessarily and we always treat it as confidential. The information you provide is kept in locked filing cabinets and on our secure database. Paper files for completed dreams are held for 3 years after the date of completion and then destroyed. Details are kept on our CRM system.
